Set a deadline, start time and duration

Updated

Every goal and task has one sheet for its dates. Tap its deadline tag to open it, pick a day, and use Time to set when it starts and how long it takes. Tap Save to keep the changes.

What is in the deadline sheet?

From the top:

  1. The date field. Type a date, day first, such as 27.9 or 27.09.26, and tap the suggestion that appears.
  2. Shortcuts. A goal gets Today, This week, This month, This quarter, In 30 days and In 90 days. A task gets its goal’s deadline, Today, Tomorrow, Next week and Next weekend.
  3. Start date. Turn it on to give the goal or task a period with a start and an end. The control under it says which end you are setting.
  4. The calendar. Your deadline is a filled circle. A dot marks each day that already holds open work, and the line above the calendar shows how many tasks the chosen day has.
  5. Time, which opens its own sheet (see below).
  6. Repeat. How to make a goal or task repeat covers it.

If you add a goal by hand and set no deadline, it is due today.

Set a start time and duration

  1. In the deadline sheet, tap Time.
  2. Pick the time the task starts.
  3. Turn on Add duration and set the length on the wheel, in 15-minute steps up to 8 hours.
  4. Check the Time zone (see the next section).
  5. Save the Time sheet, then the deadline sheet.

A task with a time shows its length and, on the day it is due, its start time.

Why give a task a duration?

A duration does two jobs. The Calendar layout shows how full each day really is, and your Focus Score weighs closed work by its minutes. A task with no duration counts as 30 minutes.

If you plan in blocks, time blocking covers which work should get the first one.

How do time zones and Floating time work?

The Time sheet’s Time zone row offers two choices:

  • Your current time zone: the time is fixed to the place where you set it. Use it for calls and meetings with other people.
  • Floating time: “Stays the same time in every time zone”. A task at 9:00 stays at 9:00 wherever you are, which suits your own morning routine.
